Machine Transport Services Ltd will need to obtain data in order to provide the service we offer to our customers:

Customer data required:

Company Name & address, company vat registration number, collection and delivery addresses, telephone numbers and contact names.

Why this data is required: To produce a job sheet, make plans for collection and delivery of machines and to raise invoices for work done.

Who will have access to this data: All employees will have access to names, collection & delivery addresses and telephone numbers as necessary to carry out the work required. Directors, Transport Managers and Accounts Manager will have access to the customer Company invoice data. All personal data will not be passed on to any other individual unless consent is given by the data subject.

Where will this data be stored: Customer Data included on job sheets will be stored securely for 7 years as this is a legal requirement. After this time all data will be shredded. Customers Company data will be stored on the Sage software on the office PC’s which are password protected.

Supplier data required: Company name and address, telephone numbers, bank sort code and account number.

Why this data is required: To set up an account in order to place orders and process supplier invoices.

Who will have access to this data: Directors, Transport Managers and Accounts Manager will have access to the supplier data.

Where will this data be stored: Supplier invoices will be stored securely for 7 years as this is a legal requirement. After this time all data will be shredded. Supplier data will be store on the Sage software on the office PC’s which are password protected.

Suppliers information will not be passed onto any other individual without consent of the supplier.

All Goods are carried under The Road Haulage Association’s Conditions of Carriage.  All Goods are stored under The Road Haulage Association’s Conditions of Storage, copies of which can be obtained upon application.
